Information for Patients

What to do before your appointment

You will need a referral letter which is valid for 12 months from your GP to access our service. Your GP will need to fax or send the referral electronically.
When we receive your referral, it will be reviewed by the consulting team and categorised based on clinical urgency.

For example:
Category 1 – Specialist consultation within 30 days.
Category 2  – Specialist consultation with 90 days.
Category 3 – Specialist consultation within 365 days of being added to the waiting list.

However, this may not always happen. 

We will notify you of:

  • the outcome of this specialist review
  • what your clinical urgency category is, and
  • the expected waiting time for your appointment.

While we attempt to provide you with the earliest possible appointment time, the most urgent patients are given priority.

Appointments may be in person (face to face), or via telehealth.

Getting ready for your appointment

Please bring with you:

  • any test results (blood tests or x-rays)
  • a list of the medications or dietary supplements you take
  • medicare, pension, concession cards

You may also bring a family member or a friend to your appointment. (Please make sure to check our COVID-19 information page for any updates in relation to this)

Your Appointment

You will receive a text message before your appointment to remind you.

Our Clinics are located on the corner of Ontario Avenue and Thirteenth Street.
Parking is available onsite.

Please check in at our Reception Area where our Administration staff will greet you and check that your personal details are correct.

Please be aware of our current COVID-19 restrictions. (Refer to our MBPH Visitors page)

Our patients are seen strictly in order of appointment time.

We do our best to run on time, however sometimes delays do occur.  Please be patient and if you have any concerns, please speak with our staff.   

Our clinics are conducted by a Team of doctors, nurses and midwives, so you may not be seen by the doctor whose name appears on your referral letter.

What if you are not able to attend your appointment?

If you are not able to make your scheduled appointment, please contact us as soon as possible so that we can make another time for you.  We can then advise someone else of an earlier time and assists us to reduce our waiting times.

If you do not come to two appointments and do not tell us beforehand, you will not be given another appointment and you will need a new referral from your GP.  

Do you need extra support or an interpreter?

Please let us know if you need extra supports due to having a disability or need cultural support.  

If you need the help of an interpreter, please let us know and we can provide one for your appointment.  This can be either in person or the use of a telephone interpreter.  This will be at no cost to you if you have a current Medicare Card.

Do you need to pay for your appointment?

Our clinics are MBS clinics. If you have a current Medicare Card, you do not need to pay.
If you do not have a Medicare Card or you are an overseas visitor, please tell us as you will need to pay for your appointment.

What happens after your appointment?

Your Specialist will tell you if they need to see you again.

They will talk to you about what happens next and what you may need to do.

We share this information with your GP and other Health Professionals involved in your care.

How to refer your patient

All Victorian Public Hospitals have to assess new adult referrals for select core conditions within different specialties against State Wide Referral Criteria.
The State Wide Referral Criteria is available across all Victorian Health Pathways websites alongside related clinical and referral pathways. 

Patients will not be provided with an appointment, or placed on a waiting list unless a referral is complete, and compliant with the State Wide Referral Criteria.

Referrals can be faxed to 03 5018 8700 or via  Electronic Referral (Argus). 

Referrals will be triaged by our Team according to the specialty required for your patient’s condition.

The more information you include with your referral, the better we are able to make an accurate assessment of your patient’s needs.

Both you and your patient will be notified of the outcome of the referral.

The demand on Specialist Clinics is high, consequently our waiting times can be quite lengthy for some specialties.

As our clinics are registered as MBS clinics,  please include the following minimum referral information:

  • Addressed to the relevant specialty
  • Recent investigations (pathology, histology and medical imaging)
  • Relevant history
  • Date of referral
  • Referring Doctors name, address, provider number and signature
